I used to open five tabs every Friday to see who hadn’t paid — now it’s one aging sheet

Disclosure: I make and sell freelancer money sheets (free samples + paid trackers on Gumroad as Jennifer Keith / keithjenn). This page teaches the free method first. Not accounting or tax advice. Example names and amounts are fictional.

Before: five tabs, still unsure

Every Friday I’d bounce between Gmail, sticky notes, and last month’s spreadsheet copy-paste to answer three questions:

  1. Who hasn’t paid?
  2. Who’s late — and by how many days?
  3. What did I actually earn this month?

Easy to miss someone. Easy to chase the wrong invoice first.

After: four overdue buckets on one sheet

I keep a simple aging view with four buckets:

The free sample uses EXAMPLE rows so the formulas are visible before you replace them. On that sample set, unpaid total is $1,620 — enough to see a chase list without accounting software.

60-second Friday loop

  1. Open the aging sheet.
  2. Fill today’s date on Start Here (if the sample asks for it).
  3. Sort by days overdue.
  4. Chase the top three only — don’t rebuild the whole workbook first.

Common mistake: sorting by amount instead of days overdue. That hides old scary invoices under a big fresh one.

When the free sample isn’t enough

The free sheet is one working subset: buckets + a chase list.

It does not try to be a full invoice log across months, status history, or a “who owes me this Friday” view for every open invoice. That next problem is what the paid Invoice Tracker is for — same late-pay situation, fuller system ($6):

If three EXAMPLE rows already answered your Friday questions, stay on the free sample.
